HBOS Clerical and Medical has ordered a were looking for a KAS Paper Systems for a Mailmaster 465H enveloper for its south west document management service department in Bristol (UK) "We direct mail approximately 200,000 items a week for Clerical and Medical, Halifax and ELAS (Equitable Life) to customers and financial advisors HBOS is a very large organisation with a number of brands and we are planning a 25 per cent increase by the end of this year," explained Simon Passco, HBOS's team manager

"The current inserting machine was limited to mailing a one or two page document with no inserts.

This meant that we were doing a lot of manual insertion because frequently we mail several items, including literature.

We realised that with the forthcoming workload we needed to invest in a new machine," he added.

The Bank contacted a number of suppliers and had virtually made a decision to go with another manufacturer.

"It was only when we had a demonstration that we found that it did not meet all our criteria.

The priority was the capability to handle DL, C4 and C5 envelopes and gloss art paper, because a lot of our marketing material is printed on this stock.

It also had to be configured with three insert stations and a hand feed option to feed in CDs.

We wanted the security feature of a bar code reader because within the next 12 months we will be mailing out cheques.

Speed was also an issue because our current machine was quite slow," added Passco.

He said that HBOS chose the KAS Mailmaster system because it met all the criteria.

The 465HS is the high speed version of the Mailmaster, which handles DL, C5 and C4 envelopes.

KAS recommended a system with three insert stations and a hand feed position, which can process up to five inserts and documents up to 5ml thick.

The prime document is fed with a sheet feeder with inline folder and barcode reading.

Having taken some time to look at what was on the market, the need for a machine became very urgent, he added.

"We wanted a machine to be supplied and up and running in less than a fortnight, which was quite a tall order for any supplier.

KAS had no problem at all and that is one of the advantages of working with a British manufacturer.

The Mailmaster was installed and up and running within a week, although there was a learning curve while the staff were undergoing training.

I can't fault KAS in its sales, installation and support.

Initially we needed some hand holding while the machine bedded in and they were very helpful.

I work with a large number of suppliers and sometimes they come and work on the machines and we have no idea what they have done.

KAS is different because it is communicative and tells us exactly what it has done.

It is a good partner for us and we hope the company will continue to be so attentive," said Passco.
