A company which manages facilities in 15,000 of the UK's office and business premises is to use a new payslip that includes personalised messages to its employees.

A company which manages facilities in 15,000 of the UK's office and business premises is to use a new payslip that includes personalised messages to its employees.

Romec has appointed communication service company, OTM, to design and manage payslip printing and delivery to 1,800 weekly and 3,000 monthly staff on an outsourced basis.

Using OTM's O42 system, Romec can automatically print a message of its choice on every payslip, which can be personalised to the individual.

Messages could be informative, or motivational, or could be used to market products or services to the company's workforce, said OTM.

The system works by Romec electronically transferring its payslip and address data to OTM's purpose-designed secure site in Leicester.

At the same time, Romec can add the messages remotely to different segments of the database.

For example, some of those segments could be defined by geography, working hours and length of service, for example.

That would enable Romec to include as many different messages as there are segments, added OTM.

The messages seem very likely to be read, according to OTM, which estimates that individuals spend at least three minutes looking at their payslips, compared to around 20 seconds at a piece of direct mail.

When the data is received by OTM, it is combined and printed in one go, including the Romec logo on the top.

That is then automatically inserted in to envelopes and posted within 24 hours, enabling the company to take advantage of substantial Royal Mail bulk postage discounts.

The outsourcing of the payslip operation is expected to make savings for Romec, in addition to the postage discounts.

Previously, the company produced the payslips in-house..

The company had to buy in standard paper, which was difficult to use on its presses, which wasted time, caused frustration and resulted in complaints if payslips were late.

Romec spokesman, Alan Williams, the company's compensation and benefits manager, said: "There are some very strong advantages in outsourcing our payslip operation.

As well as the cost savings, it enables us to concentrate on our core business and gives us a great way to communicate with a widespread workforce.".
