A new range of multi-functional devices (MFDs) launched by Ricoh UK will improve email access for staff using remote connections, believes the company The devices offer a 'scan to URL' function that is said to enable users to access scanned information stored on the MFD's hard disk drive through a web browser

That means users can decide if and when they want to access the files rather than having attachments overload their email in-boxes each time they log on to the network.

"'Scan to URL' puts people back in charge of their email," explained Chris Burdett, product manager with Ricoh UK.

"Instead of sending the attachment to the user, they receive an email containing a URL link to the data stored on the device.

The net result is a huge reduction in network traffic and a boost to productivity, as users no longer have to wait for large files to download." The new feature is available as standard on the Aficio 3025, 3030, 3035 and 3045 models, a range of mono MFDs launched this month by Ricoh UK.

In addition to the 'scan to URL' capability, all of the new MFDs offer security measures to help protect customers' data, including multiple authentication, encryption options and the protection of stored and scanned documents.

The devices also offer virtual mailboxes in which print jobs are held until they are released at the system by the user, said Ricoh.

That enables users to control who can collect the print outs and protects against the leakage of confidential data.

Those features are further bolstered by conventional functions such as 'locked-print' and the optional add-on, data overwrite security.

Users can order the devices in a range of pre-configured settings, to match their specific document processing requirements.

The devices also utilise Ricoh's GW architecture, allowing further functions to be added as required and further increasing the flexibility of the system, added the company.
